Last updated: 25 September 2026This policy explains what personal information One Step Transformations collects when you visit our website, apply for coaching or become a client, why we collect it, and what your rights are. We've written it in plain English. If anything is unclear, email us and we'll explain.

1. Who we are

One Step Transformations is the trading name of One Step Transformations Coaching (Pty) Ltd, a company registered in South Africa (registration number 2026/764401/07), based in Somerset West, Western Cape, South Africa.We are the "controller" of your personal information, which means we decide how and why it is used. For any privacy question or request, contact Rae Khoury at [email protected].Our coaching is offered to people in the United Kingdom and other countries. Where you live in the UK, we handle your information in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. As a South African company, we also follow South Africa's Protection of Personal Information Act (POPIA).

2. The information we collect

When you apply for coaching, our application form asks for:

  • Your goals, how long you've been trying to lose weight, what you've tried before and what got in the way

  • Your country, age group, when you'd like to start, how committed you are, whether you're ready to invest in coaching, and who else is involved in the decision

  • Answers to a short health screening question, for example whether you are pregnant or breastfeeding, or have a history of an eating disorder

  • Your first name, email address, mobile number and, if you choose to give it, your Instagram handle

When you book a call, our booking page collects your name, email address, phone number and chosen time. If you tick the box on the application form, we may also message you on WhatsApp about your call. During the call we may take brief notes about your goals and situation.When you become a client, we also collect:

  • Payment records (the amount, date and payment method). Payments are processed by PayPal. We never see or store your full card or bank details.

  • The information you share with us through the coaching app, such as check-ins, daily habit tracking, body weight, measurements, progress photos, food and training information, and messages

  • Your acceptance of our coaching agreement

When you visit our website, we collect limited technical information, such as your device and browser type, the page that brought you to us, and how you use the page. See our Cookies page.Health information (such as your weight, eating history, pregnancy status or medical conditions) is a special category of personal information under UK GDPR. We only collect it because it is needed to coach you safely, and only with your explicit consent.

3. Why we use your information and our legal basis

Review your application and decide whether coaching is a good fit. Why: to offer you a call and make sure coaching is safe and suitable for you. Legal basis: your consent, and explicit consent for health information.Book and hold your call, and contact you about it by email, phone or (if you agreed) WhatsApp. Why: to arrange the call you asked for. Legal basis: steps taken at your request before entering a contract.Deliver your coaching: programme, nutrition guideline, check-ins and messaging. Why: to provide the service you've paid for. Legal basis: performance of our contract with you, and explicit consent for health information.Take payment and keep financial records. Why: to get paid and meet tax and accounting rules. Legal basis: contract and legal obligation.Measure and improve our advertising and website. Why: to understand which ads and pages work. Legal basis: your consent (through cookies).Share your story, quotes or photos as a testimonial. Why: only if you choose to take part. Legal basis: your separate, written consent, which you can withdraw at any time.Keep basic records of our communication. Why: to handle questions, complaints or disputes. Legal basis: our legitimate interests.We do not sell your personal information. We do not make decisions about you using fully automated processes. Every application is read by Rae personally.

4. Who we share your information with

We only share your information with trusted service providers who help us run the business, and only what they need. They act on our instructions and must protect your information. These are:

  • Tally, which runs our application form

  • Google (Google Workspace, Google Calendar and appointment booking), for email, scheduling and calls

  • Kahunas, our coaching app, which holds your programme, check-ins, habit tracking and messages

  • PayPal, which processes payments

  • Carrd, which hosts our website

  • Meta (Facebook, Instagram and WhatsApp), for advertising where you have accepted cookies, for messages you send us on Instagram, and for WhatsApp messages if you've agreed to them

We may also share information with our accountant, or where the law requires us to, for example to a tax authority or court.

5. International transfers

We are based in South Africa, so information you give us is accessed and stored there. Our service providers may also process it in the European Union, the United States and other countries.South Africa is not currently covered by a UK "adequacy" decision. Where your information leaves the UK, we rely on the safeguards our providers put in place, such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, and we protect it to the standard this policy describes. You can ask us for more detail on these safeguards.

6. How long we keep your information

  • If you apply but don't become a client, we delete your application and call notes 12 months after you apply.

  • If you become a client, we keep your coaching information for the length of your coaching and for 12 months after it ends, in case you return or have a question. We then delete it.

  • Financial records (invoices and payment records) are kept for 5 years after your coaching ends, as required by tax law.

  • Testimonials are kept for as long as you're happy for us to use them. If you withdraw consent, we stop using them in new material.

7. How we protect your information

We use reputable providers with strong security, keep access limited to the people who need it, and use secure passwords and two-step sign-in on our accounts. No system is completely secure, but we take reasonable care to protect your information.

8. Your rights

Under UK GDPR you have the right to:

  • Ask for a copy of the personal information we hold about you

  • Ask us to correct information that is wrong or incomplete

  • Ask us to delete your information

  • Ask us to limit how we use your information

  • Object to how we use your information

  • Ask us to transfer your information to you or another provider

  • Withdraw your consent at any time. This won't affect anything we did before you withdrew it, but we may no longer be able to coach you safely without the health information we need.

To use any of these rights, email [email protected]. We'll reply within one month. There's normally no charge.If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the UK Information Commissioner's Office (ico.org.uk). If you're in South Africa, you can complain to the Information Regulator (inforegulator.org.za).

9. Adults only

Our coaching and website are for adults aged 18 and over. We do not knowingly collect information from anyone under 18. If you believe someone under 18 has applied, email us and we'll delete their information.

10. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.

Cookies

Cookies are small files stored on your device when you visit a website. We use as few as possible.Website hosting (Carrd). May set technical cookies that keep the website working and secure. Type: strictly necessary.Meta Pixel (Meta – Facebook and Instagram). On our website and application form, tells us which ads brought you to us and whether you applied, so we can measure our ads and show them to relevant people. Type: marketing.We also add a short tag to our links (for example, the name of the ad you clicked) and pass it on to the application form, so we know which ads work. This tag sits in the web address itself. It isn't a cookie and isn't stored on your device.Strictly necessary cookies don't need your consent because the site can't work without them.Marketing cookies are only used if you agree to them. You can say no, and the website and application form will still work exactly the same. You can change your mind at any time by clearing cookies in your browser settings.Meta handles the information collected by the Meta Pixel under its own privacy policy, available at facebook.com/privacy/policy. You can also manage how Meta uses your information for ads in your Facebook or Instagram ad settings.

Terms of Service

Last updated: 25 September 2026These terms apply when you use the One Step Transformations website or apply for coaching. By using the site or submitting an application, you agree to them. If you become a client, you'll also sign a separate coaching agreement, which sets out the full terms of your programme. If the two ever conflict, the coaching agreement applies.

1. Who we are

2. Applying for coaching

  • You must be 18 or over to apply.

  • Please answer the application honestly, especially the health questions. They help us decide whether coaching is safe and suitable for you.

  • Submitting an application or booking a call doesn't commit you to anything, and doesn't guarantee a place. We only take on clients we believe we can genuinely help. If we don't think coaching is right for you, we'll tell you.

3. Not medical advice

Our coaching covers training, nutrition and habits. It is not medical advice, diagnosis or treatment, and it doesn't replace your doctor. Please check with your GP before starting a new exercise or nutrition programme, especially if you have a medical condition, take medication, are pregnant or breastfeeding, or have a history of an eating disorder.If you feel unwell, dizzy or in pain while training, stop and seek medical advice.

4. Results

Everyone's body, history and circumstances are different. Results depend on many things, including how consistently you follow your programme. We don't promise or guarantee any specific result, amount of weight loss or timeframe. Client stories and results shown on our website are real, but they reflect those individuals' experiences and are not a promise of what you will achieve.

5. Prices, payment and cancellation

Prices, payment options, cancellation rights and refund terms are explained on your call and set out in full in your coaching agreement before you pay. Payments are made securely through PayPal. Nothing is charged by applying or booking a call.

6. Our content

Everything on our website and in your programme, including text, training programmes, nutrition guidelines, recipes, images and videos, belongs to One Step Transformations or is used with permission. It's yours to use for your own personal use, during your coaching and after it ends. Please don't copy, share, sell or publish it without our written permission.

7. Using the website

Please use the site lawfully and don't try to interfere with how it works. We try to keep information on the site accurate and up to date, but we may change or remove content at any time. Links to other websites are provided for convenience and we're not responsible for their content.

8. Our responsibility to you

We provide our coaching with reasonable care and skill. We're not responsible for losses that weren't foreseeable, or that result from not following your programme, not following medical advice, or giving us inaccurate health information.Nothing in these terms limits our liability where it would be unlawful to do so, including for death or personal injury caused by our negligence, or for fraud. Nothing in these terms affects your legal rights as a consumer.

Our Privacy Policy explains how we collect and use your personal information. Please read it alongside these terms.

10. Changes to these terms

We may update these terms from time to time. The latest version will always be on this page, with the date it was last updated.

11. Governing law

These terms are governed by the laws of South Africa. If you live in the UK or elsewhere, you keep the protection of any mandatory consumer laws in the country where you live, and you can bring a claim in your local courts.
